Administrative Assistant

Job summary

The Development Administrative Assistant facilitates the efficient operation of the Development Department by performing a variety of clerical and administrative tasks.

Responsibilities
  • Compile, maintain, and distribute documents related to construction management, loan draw coordination, city entitlement review, change orders, field inspections, punch lists, observation reporting, and FF&E.
  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
  • Respond to and manage inquiries and questions from internal and external stakeholders.
  • Coordinate and schedule travel, meetings, and appointments for managers.
  • Prepare agendas and schedules for meetings.
  • Record and distribute minutes or other records for meetings.
  • Perform other related duties as assigned.
Qualifications
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as record-keeping and filing.
  • Ability to work independently.
  • Associate degree required; bachelor’s degree in related field preferred.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 20 pounds at times.
